Job Description

Under the direction of the Documentation Program Manager, the Documentation Specialist documents and edits materials, e.g., payment policies and Provider Manuals, for health care providers and posts them on Tufts Health Plan's public Provider website.
The job entails writing, editing and gathering information from subject matter experts (SMEs), preparing materials for Payment Policy Committee meetings, and managing follow-up with respective SMEs. The job requires attention to detail and excellent follow through. Once policy decisions are made, the Documentation Specialist determines which documents need to be modified and which internal departments need to be advised of the changes.
The Documentation Specialist edits various documentation and forms for accuracy, consistency and style, and posts updated documents on Tufts Health Plan's public Provider website.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS
* Create, write and edit payment policies (working with SMEs and partner departments as needed)
* Create, write and edit provider manuals (working with SMEs and partner departments as needed)
* Prepare for Payment Policy Committee meetings and follow up with SMEs to answer questions/complete content
* Support meeting facilitation, as needed
* Edit and post documents to Tufts Health Plan's public Provider website to ensure content is current, accurate and consistent
* As policy/process changes that affect the way providers conduct business with Tufts Health Plan are communicated to providers through newsletters, letters, etc., work with Communications team to ensure affected documentation capture/highlight the changes, and ensure docs are posted in conjunction with applicable communication
* Develop project plans detailing steps, timelines and communication vehicles (if needed). Implement work plans and facilitate communication to appropriate parties including provider services leadership and staff as appropriate. When indicated, develop and distribute documentation tools.
* Provide Operations' perspective by working with appropriate personnel to ensure that the tone and impact are clearly articulated.
* Provide information to facilitate company-wide understanding of Operations and notification requirements.
* Other duties as requested by management.

Job Requirements

EDUCATION: (Minimum educations and certifications required)
College degree in writing, editing and/or health care administration preferred.

EXPERIENCE: (Years of experience)
Minimum two years' experience in health care/managed care environment preferred. Business writing experience preferred.
The position requires an understanding of Tufts Health Plan's products and policies. It also requires an understanding of Claims and Provider Service departments' business processes and supporting computer applications.

* Must be able to manage multiple projects, adapt to shifting priorities and meet deadlines
* Ability to manage shifting priorities and demonstrate initiative, advanced problem solving skills
* Demonstrated proficiency in the use of PC and Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat, and proficiency in creating Word forms and PDF documents
* Experience with HTML, writing for the web and posting and editing website documents using a content management system
* Must be detail oriented and able to produce high-quality communications under tight, deadlines

WORKING CONDITIONS AND ADDITIONAL REQUIREMENTS (include special requirements, e.g., lifting, travel, overtime)
Fast-paced professional/business office environment handling multiple demands and exercising appropriate judgment as necessary. Requires a high level of initiative and excellent decision making which impacts the organization.
